Admission Data Administrator


Location: Hickory, North Carolina

The admission data administrator provides an important support role in reaching new student enrollment goals. Daily responsibilities are conducted in the department’s client relationship management system (CRM), Technolutions Slate. The data administrator is responsible for multiple points of data entry throughout the prospective student recruitment cycle, including but not limited to data entry of prospective student inquiries, processing of applications for admission and application materials and processing outbound electronic communication and physical mailings. Additional responsibilities within the CRM include query building, assisting with the implementation of new CRM features and ongoing CRM support for the admission team. This position also assists with support for selected admission events.

Description of Duties and Tasks

  • Execute daily data processing imports via a variety of databases for graduate and undergraduate admission offices
  • Troubleshoot data and system errors to ensure data integrity.
  • Ensure integrity and accuracy of data via regular quality checks and other methods.
  • Download, process and complete applications (through the CRM and from 3rd party vendors) for all degree programs. 
  • Process and attach supplemental electronic documents for all degree programs.
  • Process relevant payments, including, but not limited to, application fees and enrollment deposits for applicants. 
  • Manage the inventory of all materials associated with recruitment communications (i.e. printed materials, letterhead, envelopes).
  • Submit budget requests for approval and maintain budget Excel spreadsheet.
  • Print correspondence and labels to ensure timely mailing of print communications.
  • Develop an understanding of the admissions/enrollment process to assist other staff and students.
  • Work closely with assistant director of admission operations to update and maintain Slate application, queries, reports and other Slate processes.
  • Build data queries to identify target audiences for recruitment communications.
  • Facilitate applicant information or credentials to internal constituents as necessary.
  • Develop and deliver reports as needed by the director of admission and other departments across campus.
  • Assist with training and assigning responsibilities to student assistants.
  • Coordinate specific projects or events as assigned by directors/assistant directors.
  • Serve as backup for the lead admission data administrator.
  • Collaborate with other campus partners such as the Office of the Registrar, Student Financial Services, Information Technology, Academic Affairs, Residence Life and Student Success.
  • Perform other duties as assigned.

Required Knowledge, Skills and Abilities

  • Associate's degree or 2 years equivalent experience required.
  • Experience in Microsoft Office, Word and Excel is required.
  • Exceptional computer skills, evidence of ability to learn new systems.
  • Exceptional communication skills, dealing with a wide variety of constituents. 
  • Exceptional organizational skills.
  • Ability to effectively prioritize multiple competing tasks and demands.
  • Keen attention to detail, ability to establish priorities and meet deadlines; strong skills for following daily projects through to completion are necessary.
  • Motivated learner with the ability to quickly embrace new technologies and proactively apply them.
     

Reporting

  • Assistant Director – Admission Operations
  • Reports to the Director of Undergraduate Admission
  • Hourly, non-exempt position

Work Schedule

  • Standard office hours Monday-Friday, 8 a.m.-5 p.m.
  • Occasional evening and weekend work may be required as job duties demand.
